Your Questions, Answered

Everything you need to know about working together—from getting started to how Time Blocks work to what makes this different.

Can’t find what you’re looking for? Schedule a Fit Call and let’s talk it through.

Getting Started

A Fit Call is a 30-minute conversation where we talk about what’s not working in your business and whether I can help you.

We’ll discuss:

  • Where the chaos lives in your operations
  • What you’ve already tried (and why it didn’t stick)
  • Whether working together makes sense

There’s no pressure, no obligation—just clarity. If it’s a fit, we’ll talk next steps. If it’s not, I’ll point you toward resources that might help.

Schedule Your Free Fit Call

Nope. Just show up ready to talk about what’s not working.

That said, I highly recommend completing the free Operations Audit before we talk. It takes 5 minutes and gives us both a clearer picture of where to focus our conversation.

It’s highly recommended but not required.

The Operations Audit helps you see patterns and priorities you might not have noticed on your own. When we get on the call, we can quickly determine whether I can help you—and if so, what the best path forward looks like.

You’ll get immediate insights from the audit—even if we never work together.

Take the Free Operations Audit

That’s exactly what the Fit Call is for.

Start with the Operations Audit to get clarity on where the friction lives. Then we’ll use the Fit Call to explore whether I can help. You don’t need to have it all figured out—that’s my job.

This is a good fit if:

✔ You’re past the DIY phase but not ready to hire a full team
✔ Your business feels chaotic, reactive, or held together with hope and sticky notes
✔ You’ve tried productivity tools that didn’t stick
✔ You need someone who can design systems AND implement them
✔ You want strategic thinking, not just task execution

This is NOT a good fit if:

❌ You’re looking for someone to just follow instructions
❌ You want a full-time employee or traditional VA
❌ You’re not ready to invest in operational infrastructure
❌ You prefer to keep everything in your head
❌ You’re looking to pay bottom dollar

Still not sure? Take the Operations Audit or book a Fit Call to talk it through.

Services & How It Works

The Operations Strategy Review is a comprehensive audit and roadmap that identifies what’s broken and prioritizes what to fix first.

What you get:

  • Detailed operational assessment of your current systems
  • Prioritized improvement roadmap (what to tackle first, second, third)
  • 90-minute strategy session to walk through findings and next steps

Investment: $497

✨ Bonus: The full amount applies toward your first Time Block when you’re ready to implement.

Note: This is diagnostic and strategic planning—not a DIY guide. I identify the problems and create the roadmap. Implementation happens through Time Blocks.

Take the Operations Audit

Time Blocks are prepaid hours you use as needed—no retainer, no commitment.

Here’s how it works:

  1. Purchase a block of hours (Starter, Growth, Scale, or Add-On)
  2. Use hours for any service area: systems setup, workflow mapping, CRM configuration, troubleshooting, ongoing support
  3. Schedule flexibly around your priorities
  4. Hours are valid for 12 months

You control the pace. Use them all at once for a focused build-out, or spread them out over the year for ongoing support.

Yes! That’s the whole point.

Your hours work across any service area:

  • 🔧 Systems & Operations
  • 🗺️ Workflow Mapping
  • ⚙️ CRM Setup
  • 📊 Monitoring & Dashboards
  • 🔄 Ongoing Support

One week you might need CRM help. The next month, workflow documentation. Your hours flex with your needs.

12 months from the date of purchase.

You control the pace—use them all at once or spread them out over the year.

Unused hours expire after 12 months.

That said, most clients use their hours well before expiration because once systems start working, momentum builds. If you’re getting close to expiration and have hours left, we’ll prioritize quick wins or maintenance tasks to use them strategically.

Absolutely. You can purchase another Time Block anytime.

If you just need a small top-up, the Add-On block (5 hours at $145/hr) is perfect for training sessions, handoff support, or quick troubleshooting.

Yes. The full $497 applies as a credit toward your first Time Block purchase.

So if you buy the Starter block ($1,350), you’d pay $853 after the credit. If you buy the Growth block ($2,500), you’d pay $2,003.

It’s a way to make the strategic planning investment work harder for you.

🟢 Starter (10 hours / $1,350)
Best for: Small, focused builds like CRM setup, one workflow redesign, or inbox optimization.

🔵 Growth (20 hours / $2,500)
Best for: Multi-system improvements like CRM + workflow mapping + automation setup.

🟣 Scale (40 hours / $4,600)
Best for: Full operations build-outs—comprehensive system design, documentation, and implementation across multiple areas.

⚪ Add-On (5 hours / $750)
Best for: Training, handoff support, or quick troubleshooting after a larger build.

Not sure which one fits? We’ll figure it out on the Fit Call.

Working Together

Once we determine it’s a good fit, I’ll work you into my schedule with current client commitments.

Timeline depends on:

  • Scope of work
  • My current client load
  • Your availability

We’ll discuss timing on the Fit Call so you know what to expect.

Step 1: Discovery
We clarify what’s broken, what’s working, and what success looks like.

Step 2: Design
I map out the system, workflow, or process that will solve the problem.

Step 3: Build
I implement the solution—setup, configuration, documentation, testing.

Step 4: Handoff
I train you (or your team) on how to use and maintain the system.

Step 5: Support (optional)
Ongoing monitoring, troubleshooting, or refinement as needed.

Every engagement is different, but this framework keeps things clear and structured. ongoing support.

I work with your existing tools whenever possible.

I’d rather optimize what you already have than force you into a new platform. That said, if your current tools are actively working against you, I’ll recommend alternatives and help you transition smoothly.

I work with a wide range of software to build systems around how you already work.

CRMs & Client Management:
Bigin, GoHighLevel, HoneyBook, HubSpot

Scheduling & Calendars:
Calendly, Google Calendar, TidyCal

Google Workspace:
Gmail, Google Drive, Google Docs, Google Sheets, Google Calendar setup and optimization

Project Management:
Asana, Trello, ClickUp, Monday

Automation:
Zapier, native platform integrations

Documentation:
Google Workspace, Microsoft 365

Other:
WordPress, payment processors, form builders, analytics tools

If you’re using something not listed here, let me know—I’m always learning new platforms.

I don’t work “by project.” I work by client.

Whatever systems you need—CRM setup, workflow mapping, inbox optimization, automation, documentation—that’s what I do. Some clients need focused work on one system. Others need ongoing support across multiple areas as their business evolves.

Time Blocks give you the flexibility to use hours however you need them, whether that’s a concentrated build-out or regular support over time.

I send time tracking regularly so you always know how many hours remain in your block.

If you want a detailed account of work completed, I can provide that, but it eats into your Time Block hours, so I only create those reports upon request.

Transparency is built in. You’ll always know where your hours are going.

About Amanda & Getting Ish Done Now

I’m not a Virtual Assistant.

I’m an Operations & Systems Strategist. I don’t just execute tasks you hand me. I design the operational infrastructure that makes your business run smoothly.

You get:

  • Strategic thinking, not just task execution
  • Systems that fit how you actually work (not cookie-cutter templates)
  • Someone who sees patterns you can’t see from inside the chaos
  • Implementation AND strategy (not just a list of things you still have to figure out)

I focus on the layer underneath: designing the systems, workflows, and structure so everything runs more smoothly.

I’ve spent 30+ years in operations, project management, healthcare IT, and digital transformation.

Before launching Getting Ish Done Now, I led initiatives like:

  • Small business digital transformations
  • Virtual event transitions during COVID (cut costs 50%)
  • EHR oncology module rollouts
  • Multi-campus scheduling systems

I hold an MBA in Project Management and an MS in IT Management, as well as certifications including Professional Scrum Master and Microsoft Business Analyst.

I’m also neurodivergent (late autism diagnosis), which means I see patterns others miss, and I’m deeply sensitive to operational chaos. That’s exactly why I’m good at fixing it.

I started as a virtual assistant, and it was a good fit at the start.

But as I got deeper into the work, I realized the VA label didn’t capture what I was doing. I wasn’t just supporting the day-to-day. I was digging into how businesses operate, finding where things were breaking down, and building the systems to fix it.

Operations and Systems Strategist is what I really am. It’s what I’ve always been really.

Once I stopped trying to fit into a label that wasn’t mine, everything clicked. Just like it did when I got my autism diagnosis.

I built this business the same way I build everything for my clients: around what actually works, not what’s expected.

Read about How I Got Here

Yes, but with time zone boundaries.

I’m based in Uruguay and work with clients who are 5-6 hours ahead to 5-6 hours behind me (roughly UTC-3). We need overlapping work hours for calls and collaboration. I don’t work with clients who would require either of us to stay up late at night or get up early in the morning.

We also need a common language. I work in English.

If you’re in North America, South America, or parts of Europe and Africa with reasonable time zone overlap, we can likely make it work.
